Delete Your Account and Data — Trial Commander

This page explains how to delete a Trial Commander account and the data associated with it. Trial Commander is operated by iHOST LABS, LLC ("we," "us"). It applies to the web app at app.trialcommander.com and to the Trial Commander app for Android, which is the same service.

The full rules are in the Privacy Policy § 6–7 and the Terms of Service § 8. Where this page and those documents differ, those documents control.

Who can delete what

Trial Commander accounts belong to a law firm, and a firm's data belongs to the firm, not to any one user.

• A firm administrator can close the firm's account, which deletes the firm's data as described below.
• An individual user (an attorney or staff member) is removed by a firm administrator from Settings → Team Members. Their sign-in is revoked immediately; records of what they did stay in the firm's audit log for as long as the firm's account exists (Terms § 8.5).
• A client using the client portal should contact the law firm that represents them. The firm controls the client's file and can correct or delete it; we cannot remove a client's records from a firm's file on the client's own request.

How to close a firm account (deletes the firm's data)

1. Sign in as a firm administrator at app.trialcommander.com.
2. Go to Settings → Billing.
3. Under Close account, download a full export of your data first. You will want a copy for your records and to meet your client file-retention duties.
4. Choose Close account and confirm.

Closing the account cancels the subscription and schedules deletion of the firm's data. You can also cancel by emailing support@trialcommander.com from an administrator's email address.

What is deleted, and when

• Customer Data (clients, matters, documents, time entries, invoices, trust records, notes, calendar entries, filed email, and audit log events) is kept for 30 days after cancellation so you can reactivate or export. After that grace period it is deleted from production systems (Terms § 8.2). Reactivating within the grace period keeps it.
• Account and billing data held by Trial Commander is deleted together with the firm's other Customer Data.
• Daily and on-demand backups of the firm are deleted with its data, except one encrypted export made immediately before the deletion, which is kept so it can be provided to the firm (Terms § 8.3).
• Database point-in-time backups kept by our hosting provider can hold deleted data for up to 35 days after deletion (Terms § 8.3).

What is kept

• Payment records held by Stripe, our payment processor, under its own retention policy and legal obligations. Deleting a firm from Trial Commander does not delete them from Stripe.
• Matters under an active litigation hold are not purged while the hold is in place.
• Records a law firm is required to keep under its bar rules (for example, Florida trust records, which must be kept for six years). Those duties are the firm's, which is why we ask you to export before closing.

Deleting some data without closing the account

A firm administrator can delete individual clients, matters, documents, contacts, and notes inside the app at any time. Deleted records leave production immediately and age out of backups on the schedule above.
